Job Opening: Production Coordinator

Location: Mid-City, Los Angeles, USA

Type: Full-Time

Responsibilities:

  • Partners and assists the Producer(s) in all support needs as it relates to the overall show
  • Provides general assistance to show leadership, studio leadership, and artists
  • Manage calendar of the Directors and Producer, assist in navigation of daily schedule and needs
  • Perform administrative duties including scheduling meetings, taking notes, shipping, data entry, and general show support
  • Schedules studio records with outside vendors and cross-department interaction with Casting for actor availability
  • Sets recording priorities, updates schedules, documents, expense reports, travel, meals, etc.
  • Reviews the master schedule regularly and understands where to set priorities. Then tracks the shows progress for records, by episode, working with the Script Coordinator and reporting to the Producer any outstanding line counts (which change regularly and sometimes without notice)
  • Delivers and preps any required recording files/materials for recordings
  • Updates recording tracking doc and reports key information to Producer(s)
  • Acts as the point of contact for all key information to recording studio(s).  This includes negotiating for extra time and canceling scheduled times to avoid penalties
  • Coordinates the preparation of materials for Marketing and Consumer Products
  • Coordinates crew meetings
  • Takes notes when Production Coordinators or Production Assistants are unavailable and provides updates via email
  • Organizes key meetings with outside vendors, guest speakers, etc.
  • Runs point on internal and vendor e-mails in a timely manner
  • Coordinates requests and monitors distribution of script materials
  • Support show leadership directives

Qualifications & Skills:

  • 1+ years of previous executive assistant or animation production experience preferred
  • Interest in growing in animation production
  • Working knowledge of Word, Excel, Outlook, and file-sharing programs
  • Working knowledge of Shotgrid, Storyboard Pro, Photoshop, Illustrator, and FileMaker is a plus
  • Excellent written and verbal communication skills
  • Ability to multitask in a fast-paced production environment
  • High level of integrity and discretion with confidential information
  • BA/BS preferred
