Job Opening: Production Coordinator – Art
Location: Central London, UK
Type: Full-Time
Responsibilities:
- Work closely with the Art Department Manager to support the needs of both in-house and remote artists, ensuring the smooth workflow of the department.
- Coordinate and track the progression of assets throughout the art department. Ensuring delivery schedules are met and raising any unexpected changes or difficulties in advance.
- Tracking asset progression and feedback between departments and vendors.
- Schedule and prepare meetings.
- Drive dailies for the Art Department ensuring that feedback is incorporated, and revisions are completed in a timely manner.
- Assist the DM and Head of Department (HOD) in organizing and prioritizing design tasks
- Serve as the central point of contact for internal teams and closely communicate with other coordinators to ensure effective cross-departmental collaboration.
- Draft and manage the distribution of all production paperwork, including creative notes, launch materials, and turnover dates.
- Update and maintain production data via the film’s production-tracking database (Shotgrid).
- Check in with artists regularly to ensure consistency of communication.
- Support the use of production management systems and approval workflows.
- Track crew timesheets, time off in lieu, overtime, and leave.
Qualifications & Skills:
- Minimum two years experience at an Animation or VFX studio.
- Proven hands-on production coordination experience; preferably within a design-focused department.
- Well-versed in all aspects of the CG animation pipeline and industry best practices.
- Must possess exceptional attention to detail and follow-through, the ability to function under pressure, and to meet deadlines with a sense of initiative and accountability.
- Must be a knowledgeable and effective communicator across the production pipeline.
- Highly organized and resourceful with excellent written, verbal, and interpersonal skills.
- Ability to respond promptly and effectively to multiple requests while adapting flexibly to frequent changes in production schedules.
- A proactive approach to problem-solving, with the ability to anticipate potential issues and address them before they impact the department.
- Ability to follow directions, and work autonomously, and in a team.
- Proficiency in Microsoft Office (Excel, Word).
- Proficiency in Shotgrid, and Adobe Creative Suite (Photoshop) is a bonus but not required.
